Job Summary

The Accounts Clerk – Payroll & General Ledger performs all payroll related functions including data collection and verification of work hours via the payroll system, issuing deductions, calculating earnings, preparing statements for employees, updating payroll and accounting records error free and completely and reconciling all balance sheet and income statement payroll related general ledger accounts.   

Job Responsibilities

  • Prepare monthly and fortnightly payroll for all staff using the payroll system in a timely   manner. 
  • Prepare statutory deductions and other deductions monthly / as required. 
  • Analyze payroll clearing accounts. 
  • Reconcile salaries and wages to management accounts figures (payroll sub ledger to general ledger). 
  • Prepare all payroll related reports, e.g., overtime reports, variance analysis, etc. 
  • Prepare backpay calculations and accruals. 
  • Prepare BIR filings and TD4s annually. 
  • Prepare and upload ACH payroll batches. 
  • Liaise with insurance providers and other parties relating to payroll. 
  • Ensure taxes deducted from employees are accurate and complete. 
  • Ensure all abnormal additions and deductions from salaries and wages are adequately supported and approved. 
  • Identify errors and / or irregularities in payroll source data, communicate same to HR/SA and resolve. 
  • Provide feedback to payroll related queries in a timely manner.  
  • Liaise with Internal/External Auditors to ensure audits are submitted in a timely manner and in compliance with Group Policy.  
  • Use technology to provide information and data analytics that aid in timely review of financial metrics. 
  • Perform all duties in conformance to appropriate health, safety, security and environmental policies/ procedures. 
  • Aid in corporate planning cycle process to ensure submission in a timely manner and in compliance with Group requirements. 
  • Maintain the petty cash ensuring all expenses are adequately supported and that the float is maintained to meet business requirements.  
  • Compliance with the respective underlying accounting standards and legislation. 

Qualifications and Experience

  • Pursuing ACCA Level II or CAT Qualification 
  • Pursuing a degree in Accounting / Finance 
  • A minimum of 3 years’ experience in a similar capacity Or any equivalent combination of qualification and experience
