Executive Assistant – ANSA McAL Limited
Job Summary:
The Executive Assistant to the Senior Executive provides high-level administrative support. This role requires exceptional organizational skills, discretion, and the ability to manage competing priorities in a fast-paced environment. The Executive Assistant is a strategic partner who ensures the smooth operation of the executive office, supporting decision-making through scheduling, communications, coordination, and project management.
Key Responsibilities:
- Calendar & Schedule Management: Coordinate complex calendars, meetings, appointments, and travel logistics across multiple time zones.
- Communication Liaison: Serve as the primary point of contact between executives and internal/external stakeholders. Draft and manage correspondence, reports, and presentations.
- Meeting Coordination: Prepare meeting materials, agendas, minutes, and follow-up action items. Ensure executives are briefed and prepared.
- Travel & Expense Management: Plan and book travel, including flights, accommodation, and ground transportation. Prepare and reconcile expense reports in compliance with company policy.
- Project & Priority Management: Support strategic initiatives and high-priority projects by tracking progress, setting deadlines, and managing communications.
- Confidentiality & Discretion: Handle sensitive information with the highest level of confidentiality and professionalism.
- Administrative Oversight: Maintain files, databases, and office systems. May oversee junior administrative staff or coordinate with other assistants.
Qualifications:
- Experience: 7+ years of experience in a senior-level executive assistant or administrative role, preferably supporting C-suite leaders.
- Education: Bachelor’s degree preferred; equivalent work experience considered.
Skills:
- Exceptional written and verbal communication
- High emotional intelligence and interpersonal skills
- Proficiency with MS Office Suite, calendar tools (e.g., Outlook, Google Calendar), and project management tools
- Strong judgment and decision-making ability
- Proven ability to multitask, prioritize, and anticipate needs proactively
